Information we collect
We collect only information reasonably necessary to provide our services. Depending on your interaction with Pulse80, this may include your name, contact details, account information, organisation details, professional credentials, wellness assessments and health-related results.
Information may be provided directly by you or, where lawfully authorised, by your organisation or a practitioner involved in delivering our services. Our website and platform may also collect technical information needed for their operation and security.
How we use your information
We use information for specified, legitimate purposes, including managing accounts, coordinating wellness programmes, supporting practitioner services, communicating with you and preparing workforce wellness insights and reports.
We explain whether requested information is required or optional and the consequences of not providing it. We obtain informed consent where required, particularly for sensitive health information, and do not use information for unrelated purposes without an appropriate lawful basis.
Using our website or platform does not, by itself, constitute consent to every use of your information.
Confidentiality and access
Personal and health information is treated as confidential. Access is restricted to authorised personnel, practitioners and service providers who need it to perform their responsibilities.
Those handling information on Pulse80’s behalf are required to maintain confidentiality, follow appropriate security requirements and use the information only for authorised purposes.
We do not sell or rent your personal or health information.
Medical practitioner partners
Pulse80 works with qualified medical practitioner partners who hold the professional registrations and licences required to provide their services in the relevant jurisdiction.
Medical practitioner partners are required to maintain valid credentials, practise within their authorised professional scope and uphold professional duties of confidentiality when handling participant information.
Where a practitioner maintains separate clinical records, those records may also be governed by the practitioner’s own privacy notice and professional obligations.
Information shared with employers and organisations
Workforce reporting is intended to help organisations understand overall wellness patterns and priorities. Reports provided to employers are prepared in grouped or appropriately anonymised form, with safeguards to reduce the risk of identifying individuals, including within small groups.
Identifiable individual health results are not disclosed to an employer merely because it arranges or pays for a service. Any such disclosure requires your specific, informed authorisation or another lawful justification.
Security and retention
We take reasonable technical and organisational measures to protect information against unauthorised access, loss, misuse, alteration or disclosure. These measures are reviewed in light of the sensitivity of the information and the risks involved.
No system can guarantee absolute security. If a security incident affects personal information, we investigate, take appropriate corrective action and notify affected individuals and relevant authorities where required.
We retain personal information only for as long as necessary for the purpose for which it was collected, including applicable legal and professional record-keeping obligations. Information is then securely deleted, destroyed or irreversibly anonymised.
Your rights and choices
Subject to applicable requirements, you may request access to your personal information, correction of inaccurate information, deletion, or restriction of certain uses. You may also object to certain processing and withdraw consent where processing relies on it.
Withdrawing consent does not invalidate processing already carried out lawfully. Some information may need to be retained to meet legal or professional obligations.
We may verify your identity before responding to a request. If we cannot fulfil a request, we will explain why. You may also raise a complaint with the relevant information protection authority.
Updates to this policy
We may update this policy as our services or information practices change. The latest version will be published on our website with its revision date. We will provide additional notice of material changes where required.
